JOB SUMMARY
Under the guidance of the Development Team Lead (DTL) and CEO, the Donor Relations and Events Coordinator acts as an outgoing representative for Friends of Strays (FOS), assists the DTL with maintaining and developing relationships with FOS supporters, and plans and implements special events.
Through donor stewardship efforts and strategic event planning, the Donor Relations and Events Coordinator will seek out and build relationships with local businesses, adopters, donors, volunteers, and other supporters to increase engagement and donations in support of the shelter.
This position is ideally suited for someone interested in learning all aspects of donor engagement and nonprofit fundraising with the potential for growth into development management at the shelter.
WORKING RELATIONSHIPS
Works closely with DTL and directly with CEO, communications manager, shelter staff and volunteers. Builds relationships with local businesses, volunteers, adopters, donors, and other supporters.
ESSENTIAL JOB FUNCTIONS
- Assists DTL to ensure timely, engaging, and ongoing donor engagement and stewardship.
- Plans and implements fundraising and community events as deemed appropriate to meet annual fund and friend-raising goals and ensure high visibility, brand recognition and regular exposure of Friends of Strays in the community.
- Works with DTL and communications to find strategic ways to engage with the public and our supporters.
- Provides DTL with periodic reporting of activities for all community and fundraising events.
Donor Relations/Stewardship Essential Duties/Responsibilities
- Works with DTL to ensure that donors are being properly acknowledged using thank you letters, email communications and phone calls.
- Maintains donor database with changes to mailing addresses, donor requests, etc.
- Assigns tasks to volunteers for donor thank you calls.
- Keeps accurate records and notes of donor communications in the donor database.
Special Events and Outreach Essential Duties/Responsibilities
- Collaborates with DTL to develop strategic and annual fundraising event plans and budgets.
- Acts as the liaison for inquiries from individuals and companies interested in fundraising for FOS and works with DTL to help them be successful.
- Seeks out, plans and implements fundraising and community events as deemed appropriate to meet annual fund and friend-raising goals and ensure high visibility, brand recognition and regular exposure of Friends of Strays in the community.
- Coordinates event publicity logistics with communications dept. to include public relations, advertising and collateral material design, production and distribution.
- Plans and implements production logistics to ensure smooth events.
- Responsible for organizing volunteer solicitations for in-kind donations for each event.
- Works with DTL and volunteers to cultivate and expand sponsorship development and fulfillment.
- Maintains event spending within budgetary parameters.
- Ensures proper level of staffing or event volunteers to cover all needs throughout the duration of events.
- Ensures that Friends of Strays is represented in professional manner to the public at all times, both in regards to materials and in staff/volunteer representation.
Job Qualifications:
Education/Experience: Minimum of Bachelor’s Degree or Associate’s Degree with equivalent work experience; Minimum two to three years’ experience in fundraising, relationship management, or event planning; Minimum of two years’ supervisory experience; Proven project management experience; Proven ability to coordinate events; Animal welfare experience helpful.
Knowledge/Skills/Abilities: Proven and effective verbal, written, listening and interpersonal communication skills; Ability to work effectively with time sensitive deadlines; Ability to prioritize projects and request assistance when needed; Willingness to approach and engage with potential supporters; Proficiency with computers, Microsoft Excel, Word and Outlook; Strong organizational and project management skills; Teamwork and consensus building skills; Ability to use sound judgment when dealing with donors, volunteers, animal-related concerns and confidential information; Interest and knowledge of animal welfare related issues, Knowledge of animal breed, behavior, and handling helpful.
Other: Must be at least 21 years of age (required for insurance purposes); Valid State Driver’s License and insurable driving record.
Working Conditions:
Work Environment: Shared cubicle/office space possible; Exposure to animals; Potential exposure to zoonotic diseases, animal bites and scratches; Exposure to high noise levels when in kennels; Some work may be performed outdoors with exposure to all weather conditions.
Physical Activities: Able to drive, stand, bend, squat, walk, and talk for up to eight hours a day; Able to lift up to 50 pounds with assistance; Able to work a flexible schedule with weekend and evening shifts for events, as needed.
